🔒 Privacy Policy

Effective Date: June 1, 2025

Last Updated: September 25, 2025

Zauri, Inc. (“Zauri,” “we,” “our,” or “us”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you:

  • Visit our websites or landing pages

  • Use our AI voice platform for recruiting, intake, or employee check-ins

  • Submit information as a job applicant or as a company representative

Role clarity: For website visitors and our own business contacts, Zauri acts as an independent controller. For candidate data processed on behalf of an employer customer, Zauri acts as a processor/service provider and follows the customer’s instructions.

1) Information We Collect

A. Candidates / Job Applicants (Processor Context)

  • Identification & Contact: name, phone, email.

  • Application Data: resume/CV, employment & education history, job interests, availability.

  • Interaction Data: call audio, transcripts, summaries, timestamps, phone metadata.

  • Assessment Artifacts: structured responses, optional rubric scores/flags configured by the customer.

  • Technical Metadata: device/connection data generated during service use.

B. Employer & Recruiter Users (Controller or Processor)

  • Business Contact: name, work email, phone, company, role.

  • Account & Access: SSO identifiers (e.g., Google/Microsoft), role/permissions, activity logs.

  • Job & Process Inputs: job descriptions, screening criteria, workflows, notes.

C. Website Visitors (Controller)

  • Device/Usage: browser type, pages viewed, referrer, cookies, IP/city-level geolocation.

  • Forms: demo requests, contact submissions, support inquiries.

2) How We Use Personal Information

  • Deliver the service (host calls, capture transcripts, generate summaries).

  • Route and match candidates to jobs at employer direction.

  • Provide dashboards, search, and exports to ATS/HRIS.

  • Maintain security (fraud/abuse prevention, audit trails).

  • Improve quality and reliability (quality assurance, troubleshooting, analytics).

  • Communicate with you (support, product updates, onboarding).

  • Comply with law and enforce terms.

Automated decision-making: Zauri’s outputs are assistive (transcripts/summaries/optional rubric scores). We do not make hiring or employment decisions or take automated adverse actions. Employers retain full control over advance/reject outcomes.

3) Legal Bases (where applicable)

  • Consent (e.g., submitting a form, participating in a call).

  • Contractual necessity (to provide services to you or your employer).

  • Legitimate interests (service improvement, security).

  • Legal obligations (record-keeping, compliance, responses to lawful requests).

4) Sharing & Disclosures

We do not sell personal information. We may disclose:

  • Employer Customers (Processor): Candidate data to the relevant employer and their authorized users.

  • Service Providers/Sub-processors: Cloud hosting, storage, telephony, transcription, analytics, security—bound by contract to use data only for our services. A current list is available on request.

  • Legal/Compliance: To comply with law, legal process, or to protect rights, safety, and security.

  • Business Transfers: In connection with a merger, acquisition, or asset sale (with safeguards).

We do not “share” personal information for cross-context behavioral advertising.

5) Data Retention & Deletion

Candidate Data (Processor):

  • Audio: deleted within 7–30 days (default 14 days; configurable per customer).

  • Transcripts & PII: deleted within 30 days (configurable options: 30/60/90/180/365 days).

  • Security/Billing Logs (non-PII or minimized): up to 12 months.

  • Exports: We support export to the employer’s ATS/HRIS before deletion.

  • Legal Holds: We can suspend deletion upon documented employer request.

  • Evidence: Deletion confirmations available on request.

Website/Business Contacts (Controller): Retained as long as needed for the purpose collected and our legitimate business needs (e.g., support records, accounting), then securely deleted or de-identified.

Employer obligations: Employers may have statutory record-keeping duties (e.g., EEO/OFCCP). Our deletion timelines apply to Zauri’s systems and do not alter employer legal obligations; employers should retain required records in their ATS/HRIS.

You may request access or deletion (see Section 8). When we act as a processor, we will route or fulfill your request in coordination with the employer (the controller).

6) Security

We implement administrative, technical, and physical safeguards appropriate to the data we process, including encryption in transit and at rest, role-based access controls, least-privilege, audit logging, environment segmentation, and vulnerability management. No method is 100% secure; we maintain and evolve controls in line with risk.

Authentication is handled via secure SSO (e.g., Google/Microsoft) or magic link; we do not store user passwords.

7) Cookies & Analytics (Website)

We use cookies and similar technologies for site functionality, performance, and aggregated analytics (not cross-context behavioral advertising). You can manage cookies via your browser settings. “Do Not Track” signals aren’t responded to at this time.

8) Your Privacy Rights

Depending on your location, you may have the right to:

  • Access the personal information we hold about you.

  • Correct inaccurate or incomplete data.

  • Delete your data (subject to applicable exemptions or legal obligations).

  • Portability of certain information.

  • Object/Restrict processing in certain cases.

  • Appeal a rights request decision (for certain U.S. states).

  • Lodge a complaint with a supervisory authority (e.g., in the EEA/UK).
